It's definitely been a big start to Q4 for us at Ploy with a lot of new and exciting features released. This month we've really focused on streamlining IT operations with improvements in various areas such as offboarding, workflows, managed apps and as always a couple of bug fixes.

Also incase you missed Jacobs post - with 2 of the features we released this month we managed to save a customer $2k in 2 minutes.

🤖 Throw away that spreadsheet (Managed Apps)

Nearly every IT team we've spoken to has one thing in common - that forever out of date, 18 tab Google sheet. We think that's not good enough and wanted to build a solution into Ploy to solve this problem, which is why we're super excited to announce Managed apps.

Managed apps is your single source of truth for all things SaaS management. It's where you go to see:

  • Who owns what
  • Who's paying
  • When the contract is renewed
  • When the last security review was
  • Where the last security review is
  • Whether or not it's free vs paid
  • How many users still use it
  • If it has SOC2
  • If it holds customer data
  • If it's in scope for ISO
  • If it's a listed subprocessor
  • ....you get the picture.

This page is your forever up to date inventory of all SaaS applications in your business. 

No more sending around links, chasing people to fill out questionnaires or chasing people around the office asking them if they know who bought Miro. Ploy handles all of this for you, intelligently gathering data through workflows and surveys

👋 Custom Fields & Views

We don't want to lock you into a specific way of working with Ploy. Every company does things a little differently and we don't want to get in the way of that.

That's why we've released alongside managed apps the ability to create custom fields and views, so you're able to store any data that's relevant to your organisation alongside your applications. 

We've had customers store all sorts of data from associated Okta provisioning groups, to data locations and last security review dates.  You can also combine custom fields to create custom views of the data, for example you can have one for finance, one for security and one for ops.

💌 Surveys 2.0

Based on feedback we've given Surveys a complete overhaul and dedicated page in the dashboard.

With this inbox-style view you're able to now easily see all new responses without having to constantly check the apps survey page as well as view responses by member, question and send follow up reminders to those who 'forgot'.

🚃 Admin rights transfer

We all know that “oh no” moment when an app admin packs up and leaves, and suddenly, no one can access their account. It's a curveball that too many companies face, and it can throw a serious wrench in the works—worse if the exit wasn't exactly friendly.

So, what’s new from our side to tackle this? We’ve rolled out a slick update to our offboarding process that lets you spot which apps need a new admin before the current one jets off. Plus, you can nudge the soon-to-be-ex-employee or their boss to handle the handover, making sure it gets ticked off the list.

📟 And a whole heap of other stuff

As always there's also been a whole heap of other new functionality added to the platform 👇:

  • Filter completed access reviews: You can now filter on completed access reviews, making it easy to quickly show auditors your evidence
  • [OKTA] Now pulls in groups: We now sync your Okta groups into Ploy, allowing you to use them in custom fields and workflows
  • [OKTA] User add/remove changes: Now pull in when a user is added removed from an application in Okta
  • Access To: Now show 'access to' showing what category of data apps have access to (e.g. files, emails, calendars or messages)
  • Multiple connections: You can now connect multiple Google and Microsoft accounts to your Ploy organisation
  • [GOOGLE] old email address scanning: We now also scan old email addresses/aliases associated with employees in Google Workspace
  • Survey response received trigger: Now trigger a workflow when a survey response is received 
  • Revamped members page: Members page now shows all account fields
